SMOKING: Smoking is not allowed anywhere on or in premises. Evidence of smoking indoors will result in an additional $250 cleaning fee.
PETS: If you have a pet with you during your stay without prior written approval from our office, you may be charged a $250 penalty and immediate termination of your reservation. MAXIMUM OCCUPANCY: The maximum number of guests varies by property. Only registered guests are allowed in the cabins, including daytime visitors, without prior authorization. Any deviation from original reservation must be authorized by management. Violation of the rental agreement will result in immediate termination and eviction and forfeiture of security deposit. If a guest is found to have exceeded the stated guest count on their reservation, management reserves the right to immediately terminate the reservation and/or charge a penalty of up to $500.
DEPOSIT: Reservations must be secured with a valid credit card or check. A deposit equal to 50% of the total reservation is required within 24 hours to hold the reservation. Balance is due 14 days prior to check in.
CLEANING FEE: Each reservation includes an exit cleaning fee. At the end of a guest’s stay the home will be cleaned by a professional cleaning staff. While the home will be cleaned after a guest departure, guests are required to leave the home in a comparable condition as it was found. Failure to do so will result in an additional clean fee of $50.00 per hour charged to the guest.
CANCELLATIONS/DATE CHANGES: A thirty (30) day notice is required for cancellation and/or date changes. Cancellations that are made more than 30 days prior to the arrival date will be refunded less a $75 admin fee. If you book another stay within 6 months, this cancellation fee will be applied to your new reservation. Cancellations or changes that result in a shortened stay, that are made within 30 days of the arrival date, forfeit the full payment. Cancellation or early departure does not warrant any refund of rent, deposit or cleaning fee. However, if we are able to re-rent the property for the dates canceled, we will be happy to refund any part of that whether it is partial or the full amount.
REFUNDS: No refunds or concessions will be made for circumstances beyond our control; such as weather, road conditions, work projects in the area, plane or ferry cancellations, government shutdowns, power or service outages (including internet), and health or personal reasons. Trip insurance is recommended, which covers items such as these. Winter conditions can occur anytime between October and April. Please be prepared to drive in snow during peak snow season! While the roads are well-plowed and sanded, you should be prepared for snow/ice in winter. We do not give refunds or short-notice date changes due to inclement weather.
INTERNET RELIABILITY: While our internet is reliable most of the time, Ashford experiences periodic outages due to wind, downed trees, heavy snow, etc. We cannot guarantee internet availability for your visit. We do have T-Mobile and Verizon towers nearby, making cellular service more reliable and a possible back up for maintaining internet connection during internet disruptions.

POWER OUTAGES: All our cabins are equipped with backup heat, light, and cooking options (more info here). No refunds are given in the event of a power outage unless there is a failure in your cabin's backup heat or cooking source.
CHECK-IN TIME: 4:00 PM unless previous arrangements have been made with management. Arrival before 4pm without prior approval will result in an early check in penalty of $50.
CHECK-OUT TIME: 11:00 AM unless a later checkout time has been established with management, later departures are not allowed and may be billed at $50 for every 30 minutes beyond 11:00AM.
BURN BANS: If you have been notified of a burn ban in effect during your visit, any outside fires are strictly prohibited. Any unauthorized fires will result in immediate eviction, forfeiture of security deposit and will not be eligible for any refund. A community burn ban may be instated independently of any local or state burn bans.
FIREARMS: No firearms of any sort are allowed within the cabin community, including paintball guns, BB guns, slingshots, etc. If a guest is found using/discharging any of these items onsite during their stay it is grounds for immediate termination and/or a penalty of $250.
SECURITY CAMERAS: Each of our cabins is equipped with a front door Ring Camera without audio. Vacation rentals are increasingly being targeted by thieves during vacancies. Tampering with our security cameras, including removing or obstructing is grounds for immediate termination and/or a $250 penalty.
NOISE AND DISTURBANCES: It is expected that guests will behave in a civilized manner and will be good neighbors, respecting the rights of surrounding property owners and guests, being thoughtful not to disturb, annoy, endanger, and/or interfere with the enjoyment of others. If excessive noise or disturbances occur resulting in notification by police or neighbors, guests will be asked to vacate the Property and will forfeit the reservation and any monies paid.
QUIET HOURS: For guest's enjoyment and the enjoyment of others, please respect quiet times between 8 PM and 8 AM. Complaints will be charged at $150.00 (per occurrence)
HOT TUB: The use of hot tub additives beyond the sanitizing granules provided is strictly prohibited. Hot tubs are not for use by children under age 12.
DAMAGES/CREDIT CARD AGREEMENT: A credit card is required to be on file as a guarantee of payment and for damages or any additional fees, if assessed. For your convenience we accept Visa and MasterCard. Guests accept all terms and conditions of the rental agreement and accept all liability for rent and charges related to property rental, as well as any damage beyond normal wear and tear* during the term of the rental. Guests understand and authorize that these costs will be charged to the credit card provided. The guest whose credit card is on file is liable for all payments and damages on a reservation and is fully responsible for the full reservation rent and charges.
Charges can be made for the following reasons:
-To repair or replace anything that is damaged or missing
-To pay any and all charges accrued during your stay
-To change locks and replace all keys if any are lost (security key fob replacement cost up to $250 each)
-To cover excessive cleaning upon departure (i.e. stained carpets, furniture, walls, appliances, mattresses, etc.)
-To put the unit, and the things in it, in the condition when you moved in
The property shall be in the same condition upon departure as at check in. Normal wear and tear expected.
*As a courtesy, if something small gets broken during your stay, i.e. a glass or plate or anything, please let us know at check out. You will not be penalized; we would just like to replace them for the next guest.
MINIMUM AGE: The minimum rental age for responsible persons is 25 unless prior authorization is obtained from our office.
TERMINATION: Guests agree that any violation of the Vacation Rental Agreement will be grounds for immediate eviction, forfeiture of all rental fees and assessment of additional fees.
